A birthday deserves a real setting, especially a milestone one. We host these parties often here at Arts Ballroom in Center City Philadelphia, and over the years we have learned what makes the planning feel simple rather than stressful. Whether you are marking a milestone year or simply gathering the people who matter most, the room should carry the moment. Here is how we approach it, and how our team helps you bring it together.

Planning a Birthday Party at Arts Ballroom in Center City Philadelphia
We sit just off the Avenue of the Arts, close to City Hall and the Pennsylvania Convention Center, so your guests can find us easily. Our building opened as the Hotel Sylvania in 1923, and that history still shows in the details. When you book with us, you get exclusive use of a 10,000 square foot space, which means the venue belongs to your party for the night. That kind of privacy changes the feel of an event. You set the pace and the mood without sharing the room with anyone else.
Choosing the right space for your guest count
Two rooms anchor the venue, and the right one depends on your headcount and how you picture the night. The Grand Ballroom is our largest room, with hardwood floors, a French acoustic ceiling, a marble fireplace, and a granite staircase that people naturally gather around. It holds up to 250 for a cocktail style reception and seats a formal crowd comfortably. The Sylvania Room sits right beside it, with crystal chandeliers, mirrored decor, and a backlit marble bar. It fits a plated dinner for up to 100, or a cocktail reception for up to 300. Because both rooms sit side by side, it is easy to move guests from cocktails in one space to dinner and dancing in the other. For a smaller seated dinner, the Sylvania Room feels warm and close, while a bigger crowd will have room to move in the Grand Ballroom.
What comes with your booking
We run an all inclusive setup, so many of the details you would normally chase are already handled. Your booking covers tables, chairs, linens, napkins, silverware, flatware, and glassware, along with full setup and breakdown. We also include custom lighting, so you can choose uplighting, spotlights, or party lights to match your theme. There is a built in marble bar and a fireplace in the room. Tax and gratuity are included in your quote as well, which keeps your budget clear from the start rather than piling on extras later.

Food, drinks, and the birthday cake
Catering is customizable and tailored to your event, run by our own executive chef and catering team. We can serve butlered hors d’oeuvres, attended cocktail stations, and a plated dinner with white-glove tableside service, then finish with a full dessert menu. A top-shelf open bar is part of the service too. And the cake is covered. We include a custom cake and cake cutting service, so the highlight of any birthday is already taken care of.
The team that runs your night
You will not be juggling this on your own. Every event includes on-site coordination from an event coordinator, and our staffing runs deep. We staff about one server for every 10 guests and one bartender for every 75, so plates and drinks keep moving all night. A maître d’, a captain, and doormen round out the team. From the moment your first guest reaches the door to the last dance, someone is minding the details so you do not have to. That is the difference between guests waiting in line and an evening that simply flows.
Photos worth taking around Center City
Our location puts some of the city’s best backdrops within a short walk. Broad Street, Love Park, Dilworth Park, Washington Square, and Rittenhouse Square are all close by, which gives you and your photographer plenty of choices before or after the party. Inside, the granite staircase and the Juliet balconies on our Mezzanine make for easy, elegant photos without leaving the building.
Bringing it all together
A birthday party works when the space fits your guests, the food and drinks are handled well, and a team keeps the night on track so you can actually enjoy it. That is exactly what we do at Arts Ballroom, and we would love to walk you through the rooms in person.
