How to Plan a Fashion Show in Philadelphia at Arts Ballroom

Planning a fashion show takes more than a strong collection and a good lighting setup. The venue sets the tone before a single model steps onto the runway, and in Center City Philadelphia, few spaces carry the architectural weight to match what a live show demands. At Arts Ballroom, located steps from the Avenue of the Arts on Locust Street, we’ve hosted everything from fundraiser galas to concerts, and our rooms were genuinely built for this kind of production.

If you’re organizing a runway event in Philadelphia and want a space that does some of the heavy lifting for you, here’s how a show comes together inside our walls.

What Makes Arts Ballroom Work for a Runway Event

The Grand Ballroom’s layout is the starting point. With hardwood floors running the full length of the room, mahogany doors framing the entrance, and a granite staircase that doubles as a natural focal point, the architecture does what most runway sets try to manufacture. The French acoustic ceiling carries sound cleanly across the room, which matters when you’re running a live DJ set or live music alongside the show. Our 10,000 square foot footprint gives your production team real room to work with, whether that means a traditional center runway, a double-sided walk, or a more theatrical circular format.

Setting Up the Runway and Guest Layout

The Grand Ballroom accommodates up to 250 guests in a formal seated arrangement and up to 550 in a cocktail style setup. For most fashion shows, a standing cocktail format lets guests move and gives your team more flexibility with the runway width and front row access. Custom lighting packages are available, including uplighting and spotlights that can shift the entire mood of the room between looks. The marble fireplace along the wall adds a visual anchor on the opposite end of the room without competing with your stage.

Using the Mezzanine Suites for Model Prep

This is where a lot of productions get tripped up: they book a beautiful main room and then scramble for backstage space. Our Mezzanine level solves that. The two private suites up there each have their own restrooms, which keep hair, makeup, and styling completely contained and away from your guests. The Juliet balconies overlooking the Grand Ballroom let your team monitor the show floor without disrupting the flow below. If you’re working with a larger cast of models, the suites give you the square footage to run a proper quick-change setup.

The Post-Show Reception in the Sylvania Room

A strong after-party keeps the energy going and gives buyers, press, and guests a reason to stay and connect with the designers. The Sylvania Room sits directly adjacent to the Grand Ballroom and holds cocktail receptions for up to 300 guests. The backlit marble bar, crystal chandeliers, and mirrored décor give the room its own character without feeling disconnected from the main event. For seated dinners following the show, the Sylvania Room handles up to 100 guests with plated service.

Catering and Staffing on the Day

Our team handles catering coordination so you’re not managing a separate vendor relationship on top of everything else. Staffing includes an executive chef, bartenders at a ratio of one per 75 guests, and servers at one per 10 guests, along with a maître d’ and event specialist. Tables, chairs, linens, silverware, flatware, and glassware are all included, and tax and gratuity are built in. Full setup and breakdown are part of the package, so your production crew can focus on the show itself.
