Planning a gala in Philadelphia means holding a lot in your head at once. The guest list, the program, the catering, and the look of the room when the doors finally open. At Arts Ballroom, we host galas, concerts, fashion shows, and fundraisers right off the Avenue of the Arts, and we have learned that a smooth night usually comes down to a handful of clear decisions made early. Here is how we help you make them.
Building a Gala That Runs Smoothly From Start to Finish
A gala has more moving parts than most events. You might have a silent auction, a speaking program, a performance, and a seated dinner all in one evening. The upside is that our space and our team are built to carry that weight, so you can stay focused on your cause and your guests instead of chasing logistics all night.
Choosing Between the Grand Ballroom and the Sylvania Room
Most galas start with the room. Our Grand Ballroom holds up to 250 guests for a cocktail-style event and seats up to 250 for a formal dinner. It comes with hardwood floors, a French acoustic ceiling, a marble fireplace, and a granite staircase that makes a natural entrance for arrivals or a grand reveal. Next door, the Sylvania Room handles cocktail receptions up to 300 and plated dinners up to 100, with crystal chandeliers, mirrored decor, and a backlit marble bar. Across the full 10,000 square foot space, we can host up to 550 guests for a cocktail-style gala, which gives you room to flow people from a reception into a program and then an after-party.
Acoustics and Layout for Programs and Performances
If your gala includes live music, a concert, or a lineup of speakers, the Grand Ballroom’s imported acoustic ceiling helps sound carry clearly without a wall of extra gear. The Mezzanine adds a musician’s balcony and a lounge with Juliet balconies that look down over the floor, so a band or a quartet can play above the crowd. For a fashion show, the Grand Ballroom layout works well for a runway, the Mezzanine suites give your models a private place to prep, and the Sylvania Room turns into an easy after-party once the final look comes down the aisle.
Service and Staffing on the Night
A gala lives or dies on timing, so we staff every event to keep things moving. You get an event specialist, a maître d’, a captain, doormen, and a full catering team. We plan for one server per 10 guests and one bartender per 75 guests, which keeps lines short at the bar and plates landing on time. Butlered hors d’oeuvres, attended cocktail stations, and a plated dinner with white-glove tableside service mean your guests feel looked after from the first handshake to the last toast.

Food, Drink, and What Comes Included
Catering is handled in-house, and a top-shelf open bar, a full dessert menu, and a custom cake are all on the table depending on your program. A lot is already covered when you book. Tables, chairs, linens, silverware, glassware, full setup and breakdown, on-site coordination, and tax and gratuity are included, along with our second built-in marble bar and custom lighting with uplighting, spotlights, and party lights. That all-inclusive approach is what keeps a gala budget from drifting once you start adding pieces.
Photos and the Neighborhood Around You
We sit in the heart of Center City, near City Hall and the Pennsylvania Convention Center, so your guests and your photographer have plenty to work with. For pictures, Broad Street, Love Park, Dilworth Park, Washington Square, and Rittenhouse Square are all close by and give you a clean Philadelphia backdrop without a long trip across town.
A great gala feels effortless to everyone in the room because someone planned every step behind the scenes. That is the part we enjoy most, and it is what we bring to every event that comes through our doors. If you are mapping out a fundraiser, an arts gala, or a fashion show, we would be glad to walk you through the space and help you picture the night.
